
Event Recap
Project overview
BrightSpace Events wanted a recap that did more than prove the conference happened. The film had to carry the energy of the room to people who were not in it, and be ready while the event was still being talked about.
Creative approach
We shot for the edit we already knew we wanted: arrival and anticipation, one substantial idea from the stage, the networking floor, and a close on the room emptying. Vox-pop interviews were recorded between sessions so the film had voices rather than only music.
Production process
1. Pre-production
A shot list built from the running order, with two operators assigned to stage and floor respectively.
2. Production
Two days on site, with cards backed up and rough-selected each evening so the edit could start on day two.
3. Post-production
A same-week turnaround: a sixty-second social cut within 48 hours and the full two-minute recap five days later.


Challenges
Conference lighting is designed for the room, not for a camera, and the stage was several stops brighter than the audience. We exposed for the speakers and lifted the audience separately in the grade rather than adding lights that would have been visible from the floor.
Outcomes
The recap ran as the header of the following year's registration page. The client now books the film at the same time as the venue, which is the part of the process that had previously been an afterthought.
